How to Set Up a Conference Room

Meetings between the employer and employees play a vital role to run a business effectively. No matter you are running a huge business or a small business you have to arrange meetings. A conference room is a place where top business executives arrange meetings to discuss serious matters and issues. As a general rule, due to the sensitivity of the issues they are discussed in the room, we should make the room more conducive, more private and more convenient to everyone.

Room Pattern and Arrangement

Arrangement of tables and chairs greatly affect the audience. Therefore, this is the major reason why conference room arrangements must be strategically planned. The different set up styles are:

* U Shape- This set up style is best for small groups that require conversations between the presenter and audience. Connect six to eight foot tables end to end to form a U shape where chairs are placed around the outside of the U.

* V Shape- This style provides an opportunity to presenter and the audience to look each other and insures their active interaction with each other. It creates a more comfortable type of feeling between the presenter and audience. We have to make three rows of tables with chairs facing the front of the room to form a V shape.

* Classroom Style- This arrangement is more suitable when the presenters of meetings or conference is going to provide more and more information to the audience. This style is followed in most educational institutions, classroom style is arranged with rows of tables with chairs facing the front of the room.

* Theater Style- More often than not this style suit when the participants need to take minimal notes, thus, there are no tables provided. Theater style is set up by having rows of chairs facing the front of the room and generally divided by a center aisle.

* Conference Style- This set up style is ideal and perfect for small brainstorming sessions where people sit close to each other. In this style each participant is provided good visual and communication lines so that they can discuss on the topic comfortably. Only one table is provided in the center of the room along with the chairs.

* Hollow Square- The arrangement for this style is similar to the set up for the conference room, only that table will form a rectangular outline with open rectangular space in the middle.

Room Equipments

There are few other factors aside from setting up the conference room that need to be remembered in order to properly and completely and dcor the room, including:

* Lighting

* Large screen and projector

* Photocopying machine

* Printing facility

* Podium

* Proper Lighing

* Lectern

* Podium

* Access to facilities for the disabled

Tables and Chairs for Conference Room

Tables and chairs must go with the set up style you choose for the room to give it a more professional look. Decide on what type of furniture you want for the room. Do you want modern style furniture or do you prefer old fashion style? Your choice of furniture must conform to the theme of the entire office otherwise it will only make your company look unprofessional and cheap. Also, make sure that the furniture will serve the purpose for the meeting instead of having them add aesthetic appeal to the room.

No matter what set up style you pick, you should make sure that you have an ample space for people so that they can move comfortably in and around the conference room. Further, provide enough space for presenter too so that he can reach to the audience closer.
